Information for Presenters

Registration: All attending authors and presenters must register for this conference when their abstracts have been accepted. The deadline for presenters to register for the conference to be guaranteed a spot in the program is March 11th.

Presentation Length: Unless otherwise noted in the program, most presentations are 20 minutes long (15 minutes for presentation and 5 minutes for questions and discussion), please ensure that you don’t run over your allotted time by practicing your talk prior to the conference.

Meeting Room Standard Equipment:

  • One LCD Projector
  • One laptop computer
  • One lavaliere microphone
  • One presentation remote with laser pointer
  • One screen of appropriate size
  • Internet access

Presenters will be required to use the conference-supplied laptop computer. The IAWF computer will have the following software installed: Microsoft Power Point 2010, Adobe Acrobat 10.x or higher, QuickTime 7.x or higher, Macromedia Flash Player 11.x or higher, and Internet Explorer 8.x or higher. Please upload your presentation to the provided online system or bring your presentation on a USB flash drive.

Note: If your graphics or video clips are not imbedded into your presentation please bring them as well. If your presentation was created on a MAC and converted to run on a PC, please test it before you come to the meeting. Make sure that the hyperlinks still function.

Presentations Loading: All speakers are required to turn in their presentations the day prior to their scheduled presentation. For instance, if you are presenting on Tuesday you should turn in your presentation on Monday or before the conference starts at 8:00 am on Tuesday. If you are presenting on Wednesday, your presentation should be turned in by the end of the day on Tuesday and so forth. This will ensure presentations can be opened and loaded onto the conference computer system. All final adjustments can be made at this time.

For your convenience we have provided an online submission system to turn in your presentation – We will also have a table near the registration desk if you prefer to submit it onsite.


Poster Guidelines: The formal poster session will take place on Tuesday, April 12th 5:30-7:30 pm. Authors are expected to be present to discuss their poster during that period. A no-host bar and hors d’ oeuvres will be provided during the session.

Poster can be placed starting Tuesday at 7:30 am and must be removed by 1:00 pm on Thursday. The Poster Session will be held in Exhibit Hall E.

Each presenter will be assigned a 4’x8′ poster board, we will provide you with the means to attach your poster (pushpin, Velcro, clips).

Good vs. Bad Poster: The are hundreds of references to “what makes a good or a bad poster” on the Internet. We strongly encourage you to do some research prior to creating your poster. Review the Good vs. Bad Poster Samples for examples of good posters and bad posters to guide your preparation.  

Conference Proceedings: All authors are invited to submit an Extended Abstract to the Conference Proceedings. To properly prepare your extended abstract, please adhere to the provided instruc­tions. You can use the Word soft copy of this instruc­tions file as a formatting template. Please remember that your abstract must be in final form when you submit it to us; it will not be reviewed or edited. Copies of the extended abstracts will be posted on the confer­ence web site. There will be no distinction between oral and poster presentations in the proceedings.
